Refunds and Cancellation
AeroCopilot's 30-day full refund policy, the Medical Grounding pro-rated refund for annual subscribers, and how to cancel without phone calls or hoops.
Refunds and Cancellation
We treat the cancel and refund flow with the same care we treat the rest of the product. No phone trees, no save-offer gauntlets, no buried links. Everything is online, and everything is captured for your records.
The refund policy
30-day full refund, no questions asked. This applies to any paid subscription. The 30-day clock runs from your most recent charge — start of the current billing period as Stripe records it.
Plus a second policy that doesn't exist anywhere else in this category:
Medical Grounding pro-rated refund. If you hold an annual subscription and you lose your FAA medical at any point during the term, you can request a pro-rated refund of the unused months. You self-attest the grounding event when you submit the request. This policy is intentionally broad — losing your medical should not be compounded by losing the money you paid for software you can't use.
The full policy lives at /refund-policy.
How to request a refund
Refunds are self-serve. Go to /account/billing/refund and submit the form. The form will:
- Compute your eligibility server-side (within 30 days, or Medical Grounding on annual)
- Show you which path you qualify for
- Require a checkbox attestation if you're claiming Medical Grounding
- Refuse to submit a duplicate pending request — one open request per subscription
Once submitted, the request lands in our admin queue. Approved refunds are issued through Stripe to the original payment method. You'll get an email when it goes through.
Cancellation
You can cancel anytime at /account/billing/cancel. The flow is four short screens:
- Reason capture — pick from five common reasons or write your own (up to 280 characters). We capture this before showing any save offer, so even if you walk away mid-flow we still hear you.
- One save offer (at most) — routed by your reason. If you said it's too expensive, we'll offer the Student downgrade ($84/year savings). If you stopped flying, we'll offer a 60-day pause. If a missing feature is the issue, we'll capture which one and give you 3 months free if we ship it within 12 months. You can decline any offer with a single click.
- Confirm — your cancellation receipt, plus a link to request a 30-day refund if you're still inside the window.
- Done — a "Logbook Stays" certificate confirming that your flight history and FAA-relevant records are preserved.
There is no double-confirm dark pattern. Cancel is a text link, not a destructive button you have to find. There is no phone or email gate — anything you can sign up for online, you can cancel online.
What happens after you cancel
- You retain access through the end of the period you've already paid for
- At period end, your subscription drops to Free
- Your account, flight history, briefings, and saved data stay intact on the Free tier
- You can resubscribe any time — your data is waiting
Free trials and cancelling early
If you're inside a 14-day free trial:
- Cancel anytime and you will not be charged
- Your card is on file but no charge has occurred
- The post-trial confirmation step (sent ~7 days after trial start) will not convert your trial to paid unless you affirmatively click "Yes"
If you decline the post-trial confirmation, your subscription is set to expire at the end of the trial — no further action needed.
Failed payments
If a renewal payment fails, you enter a 10-day grace period. During that window:
- You keep full access to your tier
- You'll see a banner in-app pointing to the card-update flow
- Color escalates as the grace window narrows (blue, then amber, then red)
- We send a small number of dunning emails — never more than five in the window
You can update your card any time at /account/billing through the Stripe Customer Portal. Once the new card succeeds, the banner clears and the grace period resets.
State-specific notes
Certain US states have stricter rules around subscription cancellation and trial conversion. Rather than build separate flows by state, we apply the strictest rule to every US user:
- The post-trial affirmative-consent step is sent to all US users, not only Vermont residents
- Annual subscribers receive a renewal reminder 30 days before auto-renewal
- All consent events (signup, trial confirm, cancel) are logged for 7 years
If you have a question about your state's specific rules, the full Subscription, Billing & Auto-Renewal terms are in §10 of /terms-of-service.
